Background

Victorian Planning Authority is a State Government statutory authority whose main task is to ensure Melbourne and Victoria's regions create great places to live. In 2019 VPA developed their workplace requirements, however as COVID hit, new challenges not considered previously emerged.

VPA were faced with:

  • A tired Workplace that didn't represent their brand
  • Staff feedback that was overwhelming negative about the current workplace
  • Headcount growth and lack of space
  • Ambiguity re the purpose of the workplace
  • 3 years left of the lease on a space that was not fit for purpose
  • Budget restrictions

Our role

VPA approached TGB to partner with them to help define their short-mid term workspace requirements and develop a workplace strategy that would lead them into the future. This included:

  • Deep Dive - Into the current state ofOrganisation
  • Future Casting - of the org's aspiration &strategy
  • Review of Strategic Documents and existing policies to align workplace
  • Gap Analysis - Does space hinder or support the aspiration and what's missing?

Following the board approval of the Strategy, TGB developed a space budget, a market search and a financial analysis on the options. The final approved business case included design development test-fits and the associated cost assessments to support the proposition.

The solutions

The process lead to the development of an organisational workplace strategy, space plan and budget endorsed by the board and used as the catalyst to refurbish their existing workspace. TGB engaged an appropriate interior designer (Studio Tate) to re-design an intelligent and efficient workplace that aligned with the Strategy.

The new VPA workplace has achieved the following:

  • Removal existing barriers and silos
  • Introduced flexibility and choice into how VPA's staff work
  • A workplace aligned to the organisations brand and strategy
  • Use of space more efficiently to accommodate the business needs & encourage collaboration

The solution is a great example where strategy and space can add significant value to an organisation. The limited budget demonstrated that financial limitations don't have to be a barrier to creating a dynamic workplace.
